Role Details

Infinium IT has an excitng opportunity for an Operations Administrator to join our friendly and supportive Operations Department, supporting the day-to-day functions of the Projects Team. This will primarily be an administrative function and will include supporting the Projects & Operations teams to provide smooth and efficient delivery of services and installations, whilst facilitating logistical requirements, and managing the companies pool vehicles. The role will also involve working closely with other departments to aid stock shipping, billing queries and other ad hoc duties, including manging the maintenance of pool vehicles and supporting Health and Safety to ensure the business and its employees are compliant with company policies and legislation.

As Operations Administrator your duties will include:

  • Manage the pool and hire vehicles for the business including arranging lease vehicles, internal availability and booking, periodical checks, maintenance, servicing, MOT, and all supporting documentation.
  • Liaise with the leasing company in relation to all lease management of the fleet of company vehicles as and when required.
  • Assist field engineers with administrative tasks and data capture.
  • Point of contact for engineers for matters relating to equipment, hardware, consumables, or tools
  • Maintain the tool, plant and equipment register.
  • Arrange and track shipments and stock/equipment to and from the office.
  • Consolidation of supporting data for scheduled or completed jobs including engineer H&S work returns.
  • Assist with periodic stock checks.
  • Arrange accommodation as required by the business.
  • Responsible for local office repairs and maintenance, with escalation to H&S when required.
  • Support Health and Safety where required.
  • Any such duties that may be required

To be successful in your application of Operations Administrator you should be able to demonstrate:

  • Adaptive communication skills to best support customer needs
  • An ability to communicate clearly and effectively on multiple channels.
  • The ability to work well as part of a team and build effective relationships.
  • Time and task management skills
  • An ability to liaise with technical experts

Requirements include:

  • Due to this role overseeing and maintaining the company fleet, it is essential that applicants hold a full, valid UK Driving Licence
  • It is desirable that you should have prior experience working with accounting or job management software.
